Using Zoom with Caly
Connect your Zoom account once and every booking gets its own Zoom meeting link.
Before you start
- A Caly account (the free plan works).
- A Zoom account. Free Zoom accounts work; Zoom's own limits, such as meeting length, apply.
Connect Zoom
- Sign in to Caly, open Apps and choose Zoom Video. Zoom Video appears there once the Zoom integration is enabled for Caly.
- Click Install. Caly sends you to Zoom.
- Sign in to Zoom if asked, review the access Caly requests, and click Allow.
- Zoom sends you back to Caly, where Zoom Video now shows as installed.
If you are new to Caly, create an account first, then follow the same steps.
Create meetings
- Open an event type in Caly and set its location to Zoom Video. To use Zoom for every new event type, open Installed apps, Conferencing and set Zoom Video as your default.
- When someone books that event, Caly creates a Zoom meeting under your account and puts the join link in the confirmation email and calendar invite for you and your guests.
- Rescheduling the booking moves the Zoom meeting to the new time, with the same link.
- Cancelling the booking deletes the Zoom meeting.
Meetings use your Zoom defaults for passcodes, the waiting room and automatic recording. You host every meeting from your own Zoom account.
Remove Zoom
From Caly
Open Installed apps, Conferencing, find Zoom Video and remove it. Caly revokes its access at Zoom, so the app also disappears from your Zoom account, and deletes the stored connection.
From Zoom
Sign in to the Zoom App Marketplace, open Manage, then Added Apps, and remove Caly. Zoom notifies Caly and we delete the stored connection right away.
What happens after removal
Event types that used Zoom switch to Caly Video, so your booking links keep working. Zoom meetings already created stay in your Zoom account; Caly no longer changes or deletes them.
Data Caly uses
- Stored: the OAuth access and refresh tokens Zoom issues for your account, kept in Caly's database and used only to manage meetings for your Caly bookings. The ids of meetings Caly created are stored with the booking so it can update or delete them.
- Sent to Zoom: the booking title, start time, duration, time zone and description, to create or update the meeting.
- Not accessed: recordings, chats, contacts, other meetings' content, or anything else in your Zoom account.
- Deletion: removing Zoom from either side deletes the tokens immediately. Deleting your Caly account deletes them too.
Caly never sells Zoom data or uses it for advertising. See the Privacy Policy for how Caly handles personal data in general.
Permissions (OAuth scopes)
Caly requests only these Zoom scopes:
meeting:write:meeting: Create a Zoom meeting when someone books an event that uses Zoom.meeting:update:meeting: Move the meeting to the new time when a booking is rescheduled.meeting:delete:meeting: Delete the meeting when a booking is cancelled.meeting:read:meeting: Read the meeting back after an update to keep the join link current.user:read:settings: Read your passcode and waiting-room defaults so new meetings follow your Zoom security settings.
Troubleshooting
- No Zoom link in a booking: check the event type's location is Zoom Video and that Zoom still shows as installed. If you removed Caly in Zoom, connect it again.
- "Zoom app not found" or an error on Install: reload and try again; if it persists, contact support.
