How to switch from Calendly

Write down what you have, rebuild it in Caly, then swap the link everywhere it lives. Plan an afternoon; keep Calendly running until your already-booked meetings are done.

1. Take stock of your Calendly setup

  • List every event type: its name, length, location (Zoom, Meet, phone), availability, buffers and booking questions. Calendly's developer API can list all your event types if you have many.
  • Export your scheduled meetings for your records: Calendly's help center describes a CSV export from the Calendar page on its paid plans.
  • Note every place your Calendly link appears: email signature, website buttons, social bios, templates.

2. Set up Caly

  1. Create a Caly account and connect your calendar (Google, Outlook / Microsoft 365 or iCloud). Caly reads your free/busy time and writes bookings back.
  2. Set your working hours and time zone.
  3. Recreate each event type with the same length, location and questions. The Free plan includes one event type; Pro adds unlimited event types, multiple calendars and buffers (pricing).
  4. For a team, set up round-robin or collective events on the Team plan.
  5. Book a test meeting from a second email address to check the invite, reminders and video link.

3. Replace your links

Calendly's help center notes that old links do not redirect when a link changes, so swap the Caly link into each place from your list rather than relying on a redirect.

4. Run both until the old bookings are done

Meetings already booked through Calendly stay in your calendar. Keep the Calendly account until the last of them has happened (and any reschedules have settled), then close it.

Questions

Can my old Calendly link redirect to Caly?

Do not count on it. Calendly's help center says that when a scheduling link changes, old links stop working and do not redirect, so plan to replace the link wherever it appears.

Can I export my event types from Calendly?

Calendly's help center documents exporting scheduled meetings as a CSV, and its developer API can list all your event types with a personal access token. Use either to keep a record while you recreate the event types in Caly.

Will I lose meetings that are already booked?

Not if you keep Calendly running until they have happened. Bookings made in Calendly stay in your calendar; new bookings go through Caly once your new link is out.
