# Meeting cost calculator

A meeting costs its attendees' time: people × hourly rate × hours. The example below is a weekly one-hour meeting with eight people at $50 an hour.

| Each meeting | $400 |
| --- | --- |
| Per week | $400 |
| Per month | $1,600 |
| Per year (48 working weeks) | $19,200 |
| Person-hours per year | 384 |

Cutting it to 45 minutes saves $4,800 a year.

## How to use it

1. Enter how many people attend and their average hourly rate (or annual salary).
2. Set the meeting length and how many times a week it happens.
3. Pick an overhead if you want the fully loaded cost, then read the cost per meeting, month and year.

## Questions

### How do you calculate the cost of a meeting?

Multiply the number of attendees by their average hourly cost and by the meeting length in hours. Eight people at $50 an hour in a one-hour meeting cost $400 in pay alone; with 30% overhead for benefits and taxes, $520.

### How do I turn a salary into an hourly rate?

Divide the annual salary by 2,080, the paid hours in a year at 40 hours a week. A $104,000 salary is $50 an hour.

### Why does the yearly figure use 48 weeks?

A recurring meeting does not run during holidays and leave, so the calculator counts 48 working weeks a year rather than 52.

### How can I make meetings cheaper?

Shorten them (the calculator shows what 15 fewer minutes saves), invite only the people who need to decide, and replace scheduling threads with a booking link so the meeting about the meeting disappears.

The cheapest meeting is the scheduling thread you never have. Share one booking link instead. [Try Caly free](https://app.trycaly.com/signup)
